Index Team Assistant (6 Month FTC)

Support the Head of Index Business Management and Business Management Team by ensuring that the Index business is operating smoothly and that the team is prioritising tasks and projects appropriately.  The TA will help to ensure that the various parts of the Index business is aligned, and operating smoothly by helping to manage schedules, arrange meetings, handle correspondence and organising files.

The TA will work well with key suppliers to the Index business and work collaboratively with key LGIM departments internally for efficiency.

What you will be doing:

Improvement of business processes

• Administrative support: Help the Business Management Team manage team meetings and social events, including team events, meetings, and conferences, including logistics, catering, and equipment setup (as may be required).
• Assist in the preparation and distribution of documents, presentations, and reports for meetings and presentations.
• Support the Head of Index Solutions with desk and room bookings, visitor meetings and diary management
• Help with alignment of the Index team’s business objectives by helping to co-ordinate the prioritisation of various projects, tasks, scheduling and reminding of important deadlines
• Identifying and helping to implement improvements to the Index team’s processes to ensure that the business is operating as effectively as possible
• Support special projects as may be required: depending on the needs of the business, the TA may be involved in special projects such as organising events, conducting research, or implementing new processes.

Internal communication and coordination 

• Building productive and positive relationships intra-group and at all levels to drive a positive experience for all those working with the Index team and business

• Experience of managing multiple busy diaries
• Previous PA experience working within a financially orientated business
• Ability to communicate at all levels of the organisation, external suppliers and customers
• Proficient ability with Microsoft Office programmes
• Experience of being a team player and building morale across a large team
• Some business management and line management experience is desirable
