We’re recruiting for an Office Administrator to coordinate office activities and operations to deliver efficient office management and administration support for LGIM Asia staff in the Hong Kong and Singapore offices and compliance with company policies.
We are looking for someone to present a positive and professional company image by acting as the first line of contact to visitors, clients, and vendors in person, online, and via telephone.
What you'll be doing:
- Managing reception area, greeting visitors, and handling phone calls and correspondence
- Maintaining office supplies, cleanliness, and facilities, including pantry and conference room schedules
- Ensuring regular office maintenance (disinfection, pest control, carpet cleaning)
- Organising team activities like monthly drinks and Christmas lunch
- Providing administrative support to staff in Hong Kong and Singapore, including onboarding and offboarding
- Maintaining employee holiday records and handling administrative tasks (filing, typing, scanning, copying)
- Managing outgoing post, expense reports, invoices, and ensuring timely payment of office bills
- Updating company intranet profiles, assisting with business trip bookings, and coordinating with the serviced office provider
- Assisting distribution team with business trip bookings, car transfers, email distribution, and updating client contacts in Salesforce/Pardot
- Collaborating with marketing on campaigns, updating email templates, maintaining thought leadership records, and providing ad hoc support
Who we're looking for:
- Experience of working within a global organization
- Strong office management and administration experience within a regulated business. Experience of working with senior level stakeholders
- Good relationship and communication skills
- Proficient in Mandarin and English
- Self-motivated and able to work independently using own initiative and with minimal supervision
- Highly organised
- Proficient in PowerPoint, Excel and MS Word. Strong typing skills
