We’re recruiting for a Team Administrator to join us. You will provide administrative and project support for various leaders across the Group Corporate Affairs business.
What you'll be doing:
- Supporting the leaders by arranging meetings (including managing regular meeting agendas, supporting materials and minute taking, ensuring accuracy and consistency), managing diaries and email management
- Managing the travel arrangements, hotel bookings and associated expenses for the leaders
- Supporting in organising events/away days/conferences for the team as required
- Engaging with senior stakeholders ensuring that information shared and provided is handled appropriately and confidentially, supporting on projects as required and collating and creating presentations
- Providing admin support in ensuring ‘New Starters’ are set up with appropriate system and building access and equipment, collating structure charts, departmental invoices - all in a confidential, efficient and timely manner using initiative regarding work priorities
- Managing all people related administration for the team, engaging with relevant PAs and HR where required
- Working collaboratively with other Administrators/PAs ensuring there is always seamless support in place and providing cover during absence and periods of high workload
- Ensuring a consistent, timely and accurate level of service is maintained in line with policy
Who we're looking for:
- An understanding of systems including Outlook, Teams, SharePoint, Word, PowerPoint, Excel, and other relevant software packages that support the full range of administrative activities
- General understanding of wider L&G business and key contacts in other divisions
- Have a general understanding of the market, the industry, and of the company structure
- Prioritisation of work and ability to meet deadlines and to be flexible in a continuously changing environment
- Proactive issue resolution and ability to suggest ways to improve existing processes and procedures
- Capable of working alone and unguided, dealing with any situation that arises and doing all necessary advance work for the senior leaders to minimise their administration workload
- Good communication skills are essential, both verbal and written, and ability to adapt communication style according to the audience
- Relationship building at all levels and proactive in assisting peers and sharing knowledge and expertise
- Ability and willingness to grasp new or unfamiliar software quickly when necessary.
