Your role at a glance
Would you like the opportunity to work in a fast paced and varied role supporting the Chief Procurement Officer in a FTSE 100 business?
If you are a self-starter, with excellent multi-tasking and prioritisations skills, then this is a fantastic opportunity to join our Group Procurement function as a Procurement Business Coordinator.
In this exciting brand-new role, you'll provide a proactive and professional PA service to a Director and other leadership team members as required within Group Procurement, working autonomously and independently with excellent attention to detail and a pro-active approach in supporting all aspects of their day-to-day activities. Your responsibilities will also include leading the implementation of the team comms strategy; coordinating reporting timetable and high-level project management as required.
This is a role that’s full of opportunity, giving you the chance to develop your skills by working a variety of different tasks. You’ll be a part of a developing Procurement function, with exciting growth plans, in a key role that will make an immediate positive impact.
What you'll be doing
- Proactive inbox and diary management, including all logistics and travel to ensure responses and time are optimised. For hybrid meetings, ensuring successful operation of technology
- Leading the implementation of the team Communication strategy i.e., managing the comms timetable, coordinating the development of news pieces and publication of articles for example.
- Organise events/away days/conferences as required, including attending, and managing logistics on the day if required. Including the managing of all aspects of travel, expenses and invoice processing as required. E.g., keeping accurate and confidential records including holidays; absences; gifts & hospitality, complying with regulations and policy & processes in place.
- Coordinating the procurement monthly reporting timetable
- Preparing, proof reading/editing and circulating papers prior to meetings. Attending meetings where needed, minuting and noting actions for the team. Tracking action items assigned to the Directors.
- Responsible for light touch, high level project management i.e., coordination of the transformation programme plan, chasing actions with action owners.
- Work collaboratively with EAs/PAs across the business ensuring there is always seamless support in place and providing cover during absence and periods of high workload and cascade relevant information to team PAs in that division.
What we're looking for
To be successful in this role you’ll be a motivated self-starter, with an acute attention to detail and focus on quality and accuracy. We’re looking for driven individuals, who are passionate about their work and can really buy into the vision of the team.
Here’s some of the experience and skills that we’d love to see:
- Previous experience in a busy EA/PA role would be highly beneficial.
- Advanced knowledge of systems including Outlook, Teams, SharePoint, Word, PowerPoint, Excel, and other relevant software packages that support the full range of administrative activities.
- The ability to prioritise a busy workload and to be flexible in a continuously changing environment. Understanding of business strategy and objectives, governance processes and inter-relationships between different areas of the organisation.
- Excellent interpersonal/communication skills at all levels and the ability to create a strong internal and external network.
- Capable of using a variety of technology (including for hybrid meetings). Ability and willingness to learn and train others on new tech/systems and sharing knowledge and expertise where necessary.
