Office Manager (Up to 9 months FTC)

We’re recruiting for an Office Manager to join us. We’re offering a competitive base salary. You will provide the receptionist and administrative support to ensure the smooth running of the office.

You will be expected to liaise and coordinate with internal and external resources whilst supporting the Executive Team and their EA’s and PAs in their day-to-day duties.

You will be expected to be in the office 4-5 days a week.

What you'll be doing:

• Welcoming all visitors, record them accordingly and provide refreshments. Ensuring reception, office area and meeting rooms are well maintained and stocked with consumables for staff and visitors
• Undertaking all office administration including post, couriers, stationery and office supply orders. Receiving, opening and processing all incoming post, deliveries, and special delivery of highly confidential and important documentation. Reporting any IT issues, arrange for resolution and ensuring IT is in good working order
• Managing the entire On-boarding process of new joiners, assisting with movers, the smooth exit of leavers
• Liaising with facilities management and ensuring compliance with all aspects of health and safety and business security policies and practices and arranging for necessary repairs when required
• Raising POs - for all invoices received, request approvals, follow up with finance to ensure prompt payment and update clients with remittance
• Co-ordinating contractual signatures from key members of the Executive team, arranging for documents to be signed, witnessed, and couriered to strict deadlines
• Taking a leading role in preparing for ISO45001 Audits. Mandatory document email and gathering information e.g., DSE, Lone Working forms etc. Storing correctly and flag any issues to the appropriate person
• Carrying out Monthly H&S walk arounds to check H&S and Fire risks, record and file all documents. Ensure all LGAH relevant legal, tailgating, CCTV, First Aider, H&S information, and signage is up to date in the Office and kept to a good standard

Who we're looking for:

• Experience in working as front of house, office/buildings manager is a must.
• Knowledge of office workplace H&S is desirable
• Friendly personable and approachable, happy to be the ‘go to’ person for a small but busy office
• Flexible in approach to projects/workload and ability to adapt to new and changing situations
• Ability to work closely with and interact in a team environment
• Happy to work with minimum supervision and use own judgement in order to make good commercial decisions
• To be First Aider and Fire Marshal trained or be willing to become both via training which will be provided by LGAH
